How to manage destination wedding guest travel
Moving your favorite people to a resort for a weekend is the dream. Keeping track of who has booked, who's flying in when, and how many need a shuttle is the part nobody warns you about. Here's how to stay on top of it.

step by step
Set up the room block and write down the cutoff
Your hotel contract will have a cutoff date when unbooked rooms are released, often 30 to 60 days before the wedding. Put that date somewhere you'll see it every week.
In the planner The Room Block tab counts down to your cutoff and has a handy checklist.
Give guests the booking details early
Send the booking link or code with your save-the-dates or wedding website, plus the cutoff date. The earlier guests have it, the fuller your block.
Track RSVPs and bookings by party
Track each party, not each person: RSVP, hotel, room type and confirmation number. The guests to watch are the ones who said yes but haven't booked yet.
In the planner The Guests tab flags anyone coming who hasn't booked their room.
Collect flights and plan transfers
Ask guests for arrival and departure flights about two months out. Sorting them by date and time shows you how many airport transfers you need and when.
In the planner Arrivals & Departures sorts automatically, ready to send to your transfer company.
Count welcome bags and event headcounts
Welcome party, rehearsal dinner, farewell brunch: each has its own guest list. Track who's attending each one, plus kids and food needs, so your planner gets accurate numbers.
In the planner The At a Glance dashboard counts it all for you.
Check in on the block every week
In the last two months, check the block weekly and send a friendly reminder to anyone who still hasn't booked before the cutoff.

Questions I get asked
When is the room block cutoff for a destination wedding?
It's set in your hotel contract and is often 30 to 60 days before the wedding. After that date, unbooked rooms are released and may go back to regular rates.
How do you track destination wedding guests?
Keep one row per party with their RSVP, hotel, room type, confirmation number, flights, transfers, events and food needs, and flag anyone who's coming but hasn't booked.
Should you use a travel advisor for a destination wedding?
An advisor can set up the room block, help guests book and handle questions, which takes a lot off the couple. Booking through an advisor typically costs guests nothing extra.

Rather hand the whole thing off?
I'm Kristina, and planning group trips is what I do.
Linen & Luggage is for planning it yourself. When you'd rather not, my travel company, KM Luxe Travel, plans the whole trip: the right hotel or villa, the flow of the days, and the little details, often with perks like breakfast and upgrades when available.
